SECURITY & DATA OWNERSHIP

Built on trust.
Kept in your hands.

Your dealership’s records belong to your dealership. MOTIV’s approach brings access controls, encrypted data, and clear ownership together.

01 / OWNERSHIPBUILT ON THE DRIVE.

Your records.
Your freedom.

Customers, vehicles, repair orders, deals, and history. The dealership remains the owner of its records.

01

Your data belongs to you

MOTIV acts as a custodian of dealership records. Your dealership directs how its customer information is processed.

02

Export without an exit fee

Request your dataset in standard formats. Your records are available for export during your subscription and, under the current policy, for 30 days after termination.

03

Stay because it works

No five-year lock-in. Clear commercial terms and portable data give you a choice about what comes next.

02 / PROTECTIONBUILT ON THE DRIVE.

Considered at every layer.

Controls for the database, the account, and the people who access them.

01

Encryption

TLS protects data in transit, and database encryption protects data at rest.

02

Role-based access

Granular roles and row-level security help limit access according to a user’s responsibilities.

03

Multi-factor authentication

Add another layer to account access with multi-factor authentication.

04

Dealership separation

Database-level controls are designed to keep each dealership’s records scoped to its authorized users.

05

Backups & recovery

Backup and recovery practices support data resilience. Discuss retention and recovery requirements for your deployment.

06

Auditability

Activity logging supports accountability, security review, and incident investigation.

03 / DATA & AIBUILT ON THE DRIVE.

Intelligence.
With boundaries.

Helpful AI should work within your dealership’s instructions and the commitments in your agreement.

01

Your instructions matter

AI inputs and outputs containing personal information are processed on the dealership’s behalf, under its contract and data processing agreement.

02

General-purpose model training

The current privacy policy prohibits AI providers from using dealer customer data to train general-purpose foundation models unless the dealership separately authorizes it in writing.

03

Clarity about providers

Request the data processing addendum and sub-processor list to understand which providers process data and their roles.

Service providers may process information to operate the platform. See the privacy policy for the full terms on disclosure, retention, deletion, and AI use. Read the policies

YOUR REVIEW, MADE PRACTICAL

Ask for the details that matter.

How should we review access?

Identify the roles in your store, the records each needs and who approves changes. Include new hires, transfers and departing employees in the discussion.

What should a data export discussion cover?

Ask about included record types, file formats, attachments and relationships between records. Agree on the request process and applicable timelines in your contract.

What should we ask about recovery?

Review backup retention, restoration responsibilities and the recovery objectives applicable to your deployment. Confirm which commitments are documented in your agreement.

Which documents should we request?

Start with the service agreement, privacy policy, data processing addendum and sub-processor information. Send your specific security questions with the roles and data involved.
